Please review the following cancellation and exchange guidelines.

Day Camps:

  • A non-refundable amount of $100 is applicable in all cases.

  • You may request a full return within 30 days from the date of purchase less the non-refundable fee.

  • If you cancel less that 30 days before the start of the camp 25% of the camp value is applicable plus the non refundable fee.

  • To avoid cancellation fees, exchange the value of the camp for another camp that has room in it or for other online programs of equal value. Contact us to select an appropriate program. The exchange must occur within 3 months of the scheduled camp.

  • If a camper chooses not to complete a day camp program no refund can be processed but exchange for equivalent value for the unused portion of the camp for private online or in person lessons with the summer camp director can be arranged.

  • If an illness or injury creates the need to cancel the camp or leave the camp early a refund or exchange can be arranged but requires proof of illness/injury by a doctor’s note. The typical policies and late cancellation fees would still apply in most cases.

Overnight Camps:

  • A non-refundable amount of $150 is applicable in all cases.

  • You may request a full return within 30 days from the date of purchase less the non-refundable fee.

  • If you cancel with less than 30 days notice the cost of accommodations at a rate of $85/day plus the 25% of the camp value is applicable plus the non refundable fee.

  • To avoid cancellation fees, exchange the value of the camp for another camp that has room in it or for other online programs of equal value. Contact us to select an appropriate program. This option is available without penalty for cancellations with more than 15 days notice. If you choose to exchange the camp within 15 days or less the cost of the accommodations at a rate of $85/day plus the non-refundable fee applies. The exchange must occur within 3 months of the scheduled camp.

  • If a camper chooses not to complete a an overnight camp program no refund can be processed but exchange for equivalent value for the unused portion of the camp workshops for private online or in person lessons with the summer camp director can be arranged less the amount of accommodation nights not used at a rate of $85/day.

  • If an illness or injury creates the need to cancel the camp or leave the camp early a refund or exchange can be arranged but requires proof of illness/injury by a doctor’s note. The typical policies and late cancellation fees would still apply in most cases.

Exchanges:

  • It is possible to exchange the dollar value that you’ve paid for a program you’re enrolled in for another program, but exchanges must be made within 3 months of the scheduled camp.

  • To avoid cancellation fees, exchange the value of the camp for another camp that has room in it or for other online programs of equal value. Contact us to select an appropriate program. This option is available without penalty for cancellations with more than 15 days notice. If you choose to exchange the camp within 15 days or less the cost of the accommodations at a rate of $85/day plus the non-refundable fee applies. The exchange must occur within 3 months of the scheduled camp.

PortPrep cares about your child’s well being and that of all other campers and its instructors and staff.

All hosts, supervisors, camp counsellors have been screened with Vulnerable Sector Police Checks.

An important aspect of creating a safe environment for our students, staff and faculty is our welcoming and accepting attitude to people of ALL intersectionalities (i.e people of all races, cultures, religions, sexual orientations, gender expressions, etc.). PortPrep has a strict zero tolerance policy towards any hateful language, bullying or shaming of any kind from parents and students.

Please refer to the FAQ page that will be sent to you upon registration to become familiar with house and studio rules for safe and respectful conduct.

In the case of disorderly student behaviour displayed by any student or parent of a camper engaging in Bullying, Harassment, Hate Speech, Discrimination, Violent Behaviour, Sexual Harassment, Illicit Drug Use, Disorderly Conduct, Vandalism, or any Unexpected Patterns of Negative Behaviours, Port Prep reserves the right to cancel any purchase order of a camp without refund, before or during any camp.

In addition, we reserve the right to suspend any student who has any undisclosed medical condition or behaviours that can potentially harm other campers that was not disclosed in the student survey and medical registration forms within 30 days of any camp start date.

Unforeseen Cases of Severe Weather, Fire, Epidemics, or National Security Threats

In the unlikely event of an unforeseen event outside of PortPrep’s or any campers control may occur such as a severe weather or other event that would prevent PortPrep from running a safe and secure camp, PortPrep reserves the right to cancel the camp. If PortPrep is forced to cancel a camp we would refund your purchase in full but cannot offer any rebates on travel plan changes or costs.

In the unlikely case that an unforeseen extreme event prevents you from attending the camp contact us to discuss options. Proof of said event must be provided to receive either a partial or total refund or exchange.

In cases of medical emergencies, or extreme weather emergencies please contact us to discuss reasonable options.
